Tokyo → Hakone → Kyoto with Luggage: Forward, Store or Carry?

Tokyo → Hakone → Kyoto · One overnight stop

For one night in Hakone between Tokyo and Kyoto, my first choice is to send the large suitcase directly to Kyoto and travel through Hakone with a smaller bag—if the carrier and Kyoto hotel confirm the delivery plan.

If you need the suitcase in Hakone, compare local hotel delivery with carrying it straight to your ryokan. The detail that can change everything is where and when you need the bag back before leaving for Kyoto.

The decision in 30 seconds

Can manage without your suitcase? Forward it past Hakone to Kyoto.

Need it at the ryokan? Check Hakone’s local station-to-hotel delivery, including the return journey.

Leaving Hakone early? Avoid a luggage plan that makes you wait for a later station collection.

Three Ways to Handle Luggage on This Route

  1. STARTTokyoSend the large suitcase, or keep it with you.
  2. OVERNIGHT STOPHakoneCarry only what you need if forwarding ahead.
  3. NEXT HOTELKyotoCollect the case under the agreed delivery arrangement.

PlanBest fitWhat could make it unsuitable?
Forward Tokyo → KyotoA short Hakone stop with no need for the large case. You cannot pack for the confirmed delivery gap, or the Kyoto hotel cannot receive it.
Local delivery in HakoneYou need the case at your ryokan and want to sightsee first.Arrival cutoff, hotel eligibility or the next-day collection time conflicts with your plans.
Carry or store locallyYou need the contents available, arrive late, or have an early departure.Extra handling, available storage and the need to return to the collection point.

My recommendation: decide the suitcase’s destination before choosing a detailed sightseeing route. The least expensive service is not necessarily the easiest plan once collection detours are included.

Plan A: Send the Large Suitcase Directly to Kyoto

This separates your trip into two journeys: you go via Hakone, while the suitcase goes to the hotel where you will next need it. It is particularly useful when the Hakone stop is about a ryokan stay rather than unpacking everything.

Start by asking your Kyoto hotel whether it can receive prepaid luggage for your reservation. Then obtain the dispatch deadline and delivery date from the sending counter. Yamato’s accommodation FAQ advises sending before the cutoff at least two days before check-in; some distances need three. It also says delivery times cannot be specified and guest shipments cannot use cash on delivery.

Yamato’s hotel-delivery guidance

Example: Tuesday in Hakone, Wednesday in Kyoto

Before shippingAsk the Kyoto hotel to accept the requested Wednesday delivery under your reservation name.
Monday in TokyoHand over the suitcase before the confirmed cutoff, only after the counter accepts the route and date. Keep the smaller bag for Monday night too.
Tuesday: Tokyo → HakoneTravel with that bag and stay at your ryokan.
Wednesday: Hakone → KyotoGo to Kyoto and collect the suitcase as agreed. Keep essentials with you in case delivery is delayed.

An illustrative two-day-margin plan, not a promised transit time. Adjust it to the carrier’s instructions and your hotel’s acceptance conditions.

Do not pack for only “one night in Hakone.” Pack for the entire period after handing over the suitcase, including any remaining Tokyo night and a delay margin. Keep your passport, money, medication, chargers and essential child supplies accessible.

If your Hakone stay is longer, Yamato’s delayed-delivery FAQ allows a requested date within seven days of handover, not eight days or longer. Confirm the actual date with the counter rather than treating forwarding as open-ended storage.

Plan B: Use Hakone’s Station-to-Hotel Delivery

This solves a different problem: you still take the suitcase to Hakone, but leave it at Hakone-Yumoto while sightseeing. It does not send the bag onward to Kyoto.

Hakone Luggage Transport Service: published conditions
  • Station → hotel: handover at Hakone-Yumoto, 8:30–12:00; collection at the hotel after 15:00.
  • Hotel → station: arrange through hotel reception by 10:00; station collection 13:30–18:30.
  • Regular bag: total dimensions up to 140 cm and weight up to 15 kg, ¥1,500 each way.
  • Large bag: up to 200 cm and 30 kg, ¥2,500 each way.
  • Participating hotels only. Check the operator’s current list.

Size is the sum of length, width and height. Same-day online reservations close at 11:30, with physical handover still required by noon. Item restrictions apply; the operator lists strollers and portable chargers among items it cannot accept.

Check current operator information and partner hotels

For a large bag using both directions, the published local transport fees add up to ¥5,000 per bag. This does not include your journey to Hakone or the later trip to Kyoto. Compare that with the actual quote for sending the case directly ahead.

Watch the return collection time. If you use hotel-to-station delivery, your onward itinerary must allow for the published collection window. It is not a good match for a morning departure requiring that suitcase.

When an early train is important, I would either forward the suitcase past Hakone or keep it at the ryokan and leave with it. Do not reserve a tight onward journey before deciding how you will retrieve the bag.

Plan C: Carry the Case or Use Local Storage

Going straight to your ryokan

If the afternoon is mainly for check-in and relaxing, taking the case directly to the property may be simpler than arranging two local delivery legs. Ask the ryokan about access, transfers and luggage handling rather than assuming the final walk will be easy.

Arriving after the delivery cutoff

Local storage may help if you want to explore before going to the hotel. The Odakyu Travel Center at Hakone-Yumoto publishes temporary luggage storage: acceptance 9:00–17:30, collection by 18:00. It requires identification; prices are confirmed at drop-off. Its guidance asks travelers with bags exceeding 160 cm total or 25 kg to consult staff.

Official storage information, in Japanese

This is a same-day storage option, not verified overnight storage. Collect the suitcase before going to the ryokan. Availability is not guaranteed, and a locker elsewhere is not useful unless your route brings you back to it.

For a day visit rather than an overnight stay

Store only where the collection point fits your exit route. Before paying, confirm the bag fits, the collection deadline and whether you can access it when you return. Keeping a suitcase at a station creates a required return stop; it does not remove the suitcase from the whole trip.

Leaving Hakone for Kyoto: Plan Around the Collection Point

Odawara is a rail gateway between Hakone and the Tokaido Shinkansen. Hakone’s official destination guide identifies its connection with Kyoto. Use your actual travel date to check the service and connections; this article does not prescribe a particular departure.

Official Odawara access overview

If your suitcase is waiting at Hakone-Yumoto, plan the route back there before going onward. If the bag is already being sent to Kyoto, choose the departure route that suits your hotel and sightseeing, without creating a luggage-collection detour.

For an ordinary suitcase over 160 cm and up to 250 cm in total dimensions, JR Central requires the appropriate oversized-baggage-area seat reservation on this Shinkansen route. It costs no more than the corresponding reserved-seat fare. Bags over 250 cm cannot be brought aboard. Free-to-use deck storage does not remove the oversized-baggage reservation requirement.

Traveling With Children? Keep the Luggage Plan Flexible

For a family, I would favor a plan that still works if you shorten sightseeing or go directly to the ryokan. A cheaper plan can become awkward if it depends on returning to one counter while a child needs a break.

  • Keep immediate feeding, changing and clothing supplies with you.
  • Do not assume a stroller can be sent through a suitcase service.
  • Decide whether an adult can manage the smaller bags while the other handles the child.

You can reduce the amount carried by planning laundry at your next stop, but keep enough clothing to cover the delivery gap.

Before Shipping: Ask the Kyoto Hotel This

Hello, we have a reservation under [name] for [check-in date]. We will stay in Hakone first. May we send [number] prepaid suitcases from Tokyo for delivery on [date]? Please confirm the receiving address and telephone number, how to label the reservation, any handling charge, and where we collect the bags. Thank you.

Hotel acceptance and carrier acceptance are separate. Obtain both before handing over the suitcase.

Frequently Asked Questions

Can I send luggage from Tokyo to Kyoto while I stay in Hakone?

Yes, this is a route to discuss with the carrier and receiving hotel. Agree the delivery date and pack for the whole period without the case. Do not assume the bag will be available at a particular time just because you have a hotel reservation.

Can I send the suitcase on the morning I leave Tokyo?

Do not rely on that without a confirmed arrival plan. The timetable above deliberately allows an earlier dispatch. If you need the belongings sooner, ask the carrier for a suitable service or keep them with you.

Can Hakone’s local delivery service take my bag to Kyoto?

The station-to-hotel service described here is for Hakone-Yumoto and participating Hakone accommodation. An onward intercity shipment is a separate arrangement.

Is it better to leave the suitcase at my Tokyo hotel?

Only if you will return to collect it. Get approval for the entire gap and both reservations. If your trip continues from Kyoto, storage back in Tokyo usually creates another journey. See our Shinjuku hotel luggage-storage comparison.

Should I send the suitcase to my Hakone ryokan instead?

That may suit a longer stay or belongings you need there. For a short stop, a second onward shipment adds another delivery gap. Compare the whole itinerary before choosing either plan.

My choice for a one-night stop

Send the large case past Hakone when you can; keep it available when you must. The test is whether your plan still works with the confirmed dispatch date, hotel acceptance and next-day departure.
