Tokyo → Kyoto / Luggage planning
Send the big case.
Keep what you need for the journey.
You can forward a suitcase from Tokyo to your Kyoto hotel and travel with a smaller bag. Start with one question: when do you need the suitcase again?
Can manage without it for the delivery gap? Compare prepaid Yamato delivery and confirm the receiving hotel first.
Need it that evening? Check a dedicated same-day service or take it on the train.
Returning to the same Tokyo hotel? Compare storage between stays instead.

For a direct Tokyo-to-Kyoto move, forwarding avoids handling the large case at stations. For a short Kyoto visit followed by a return to Tokyo, sending it to Kyoto may create an unnecessary return shipment. Sketch the whole itinerary before choosing.
How much does Tokyo-to-Kyoto luggage forwarding cost?
Yamato’s published cash base rates put Tokyo in Kanto and Kyoto in Kansai. The examples below are one-way, per parcel, including tax, before applicable discounts or additional hotel handling or packing charges.
| Size | Size / weight limit | 1 bag | 2 bags |
|---|---|---|---|
| 120 | 120 cm / 15 kg | ¥2,170 | ¥4,340 |
| 140 | 140 cm / 20 kg | ¥2,780 | ¥5,560 |
| 160 | 160 cm / 25 kg | ¥3,160 | ¥6,320 |
Size means height + width + depth. The higher category required by either dimensions or weight applies: a case measuring 150 cm in total but weighing 28 kg does not qualify as size 160. Ordinary TA-Q-BIN’s overall limit is 200 cm total and 30 kg, with additional acceptance restrictions.

A couple with two size-160 cases: the base-rate starting point is ¥6,320 for one move. Decide whether that cost is worth avoiding suitcase handling on this particular journey. Obtain the actual hotel quote before paying.
When should you send the suitcase?
Do not build your itinerary around an unconfirmed next-day arrival. Yamato’s accommodation-delivery FAQ advises dispatch before the cutoff at least two days before check-in, with three days needed for some distances. Ask the sending counter and receiving hotel to confirm your route and service.
Official FAQ: sending luggage to a hotel or ryokan
- Before Tuesday: ask the Kyoto hotel whether it can receive your cases for Thursday’s reservation.
- Tuesday, before the confirmed shipping cutoff: hand over the cases only after the counter accepts your requested date.
- Tuesday and Wednesday nights: use the smaller bag while staying in Tokyo or making a side trip.
- Thursday: travel to Kyoto and collect the cases according to the hotel’s instructions.
This illustrates a two-day margin, not a guaranteed schedule. Add time if the counter recommends it. Pack for the actual period without access, plus a delay margin.
Can luggage arrive on the same day?
Dedicated same-day services exist, but they are separate products. LUGGAGE EXPRESS, linked from JR Central’s luggage guide, uses the Shinkansen and lists drop-off options in Tokyo, Kyoto and Osaka. Its location guide says hotel service is for guests staying at partner hotels.
Check your exact origin and destination in its current booking flow, including the handover deadline, arrival conditions, price and item restrictions. Do not assume your hotel participates or that an ordinary TA-Q-BIN quote includes same-day transport. Local airport-to-city delivery also does not establish Tokyo-to-Kyoto coverage.
How to send luggage from a Tokyo hotel to Kyoto
Get the Kyoto hotel’s agreement.
Supply your reservation name, check-in date, bag count and proposed arrival date. Ask where to collect the bags and whether there is a handling charge.
Ask your Tokyo hotel about dispatch.
Confirm whether reception can arrange prepaid delivery, which carrier it uses and the collection cutoff. If it cannot, ask a staffed carrier counter about your route.
Measure and weigh each case.
Include its external dimensions. Ask the counter to confirm the category and any packaging needed.
Complete the waybill with the receiving hotel’s details.
Use the hotel-provided postal address and telephone number, and identify the guest and check-in date so reception can match the case to the booking.
Confirm the delivery date and pay.
Yamato’s accommodation FAQ says guest shipments cannot use cash on delivery. Keep the dispatch receipt and tracking number.
Check tracking and collect at reception.
If your booking changes, contact the carrier and receiving hotel promptly to agree what happens to the bags.
Hotel acceptance and carrier acceptance are separate checks. A reservation does not automatically authorize a shipment to that address.
What should stay in your smaller bag?
Keep your passport, medication, money, travel documents, keys and essential electronics with you. Pack enough clothing and toiletries for the confirmed gap and a delay. Families should add the children’s immediate supplies. Check the carrier’s prohibited-item rules before closing the case; a suitcase is not accepted merely because it meets the dimensions.
What if you stop in Hakone or Kawaguchiko first?
For a Tokyo → one- or two-night side trip → Kyoto itinerary, consider sending the main case directly to Kyoto and taking a smaller bag for the stop. This works only if the Kyoto hotel accepts the planned delivery and the carrier accepts that date.
Yamato’s delayed-delivery FAQ permits a requested delivery date within seven days of handing over the luggage; it does not permit eight days or more. Write the agreed date on the waybill. This is a delivery scheduling limit, not an unlimited storage service.
Official FAQ: requesting a later delivery date
Returning to Tokyo after Kyoto?
Compare leaving the large case at your Tokyo hotel instead. Ask for approval covering both reservations, all dates and the number of cases. Our Shinjuku hotel luggage-storage comparison separates same-day storage from arrangements between stays.
A useful test: if nothing in the large suitcase is needed during Kyoto, price storage against shipping it both ways. If you need those belongings in Kyoto, storage back in Tokyo will not solve that requirement.
Taking your suitcase on the Shinkansen instead
Forwarding is optional. JR Central’s current guide requires an appropriate oversized-baggage-area seat reservation for ordinary suitcases with total dimensions over 160 cm and up to 250 cm on the Tokaido Shinkansen. The reservation has no additional charge beyond the corresponding reserved-seat fare. Bags over 250 cm total cannot be brought aboard.
Some deck storage areas can be used without a reservation for bags up to 160 cm total; that does not remove the reservation requirement for oversized cases. Check the official luggage guide and carry-on limits for your actual luggage and train.
If you choose the train option, plan the station-to-hotel section too. A manageable train ride does not guarantee an easy walk with several cases, a stroller or a tired child.
Choose a Kyoto room that supports packing light

Once the delivery plan is settled, laundry can reduce how much clothing you need in the smaller bag. Compare the exact room’s equipment, beds and total price; the words “laundry facilities” may refer to a shared room or a collection service.
For four guests: MIMARU SUITES Kyoto Shijo

The official Two-Bedroom Suite lists 49 m², four single beds and an in-room washer-dryer, with an adult capacity of four. It is a starting point for a group wanting separate bedrooms and private laundry.
The listed allowance for up to two children aged six or under does not provide extra beds. Enter everyone’s age and check the final offer. Ask separately about receiving your shipment; room equipment does not establish delivery-service participation.

The booking link opens the property, not a preselected room or luggage service.
For couples and larger groups, use our Kyoto hotels with in-room washer-dryers comparison for 2, 4 or 6 guests. For the first part of your trip, compare Tokyo rooms with private washer-dryers.
Tokyo-to-Kyoto luggage forwarding questions
Can I send luggage on the morning I leave Tokyo?
Only choose that plan after confirming when you will receive it. If you need the case that evening, check a dedicated same-day option or carry it with you. Ordinary forwarding should not be treated as same-day delivery.
Can an Airbnb or unattended apartment receive my suitcase?
Do not use the address without the host’s explicit acceptance and an agreed handover arrangement. If nobody can receive it, choose another confirmed collection method with the carrier.
Is sending two suitcases always cheaper than storing them?
No. Compare the full itinerary: bag count, charged storage days, number of shipments and any handling fees. Include whether you actually need access to those belongings in Kyoto.
Can the hotel send luggage to the airport after Kyoto?
Airport delivery has its own acceptance rules and deadlines. Give reception the airport, terminal, flight date and collection needs; obtain a specific plan instead of reusing this hotel-to-hotel timetable.
What if my bag arrives late?
Use the tracking number and contact the carrier. Tell the receiving hotel if the arrival may fall outside your stay. Keep the essentials for your next travel day with you so an unplanned delay does not leave you without them.
Before handing over your suitcase
- The receiving hotel has accepted the shipment.
- The counter has accepted the delivery date.
- You know the total cost.
- Your smaller bag covers the delivery gap.
